STEP 1: If necessary, we can meet with the organization’s decision making group to discuss the features, advantages and benefits of employing our services. Give us a call (603-267-9444) or send us an eMail and we will make every effort to schedule a time convenient for everyone. In addition, we will provide examples of effective fund-raising products, “Sell Sheets”, and “Final Order” forms for your group to examine.

STEP 2: Once an organization decides to proceed with a fund-raising project and notifies us via email (GraniteLedgeCoffee@comcast.net), we “reply” by sending a simple “Information Sheet” (EXCEL doc) for you to use to outline a few administrative details that we need to create your project account, such as contact names, telephone numbers, proposed sale dates, etc.

STEP 3: Once we receive the completed “Information Sheet”, and clarifications have been made, we send to you a simple EXCEL doc that outlines the project’s timelines, so everyone is on the same page and the tasks can be managed according to schedule and expectation. Typically, the only tasks that the organization is expected to complete are those relating to the proofing of copy.

STEP 4: This is the fun part: designing your label and creating the product line. This process consists of determining which products / varieties of coffee that will be used and our creating labels, emailing them to you, and your making critique / change requests. It’s rare that the editing takes more than two or three iterations. Sometimes, we nail it on the first version.

STEP 5: Once the product line has been determined and the designs are complete, we create the “Sell Sheet” SEE: [fund-raiser DESIGN page / Sell Sheets] that exhibits the appropriate images, prices, order form, etc. In addition, we create the “Final Order” form (EXCEL) that you will use to communicate the final compiled order to us. This form has been custom formatted to show only the products that you offer in such a way that all you enter is the total quantity of each variety sold; it will automatically calculate the cost and quantity totals.

STEP 6: Your successful sales event has concluded. You’ve compiled the “Sell Sheets” onto the “Final Order” and eMailed it to: GraniteLedgeCoffee@comcast.net........within 10 business days, your order will be delivered (within 50 miles of Canterbury, NH) or shipped (via UPS beyond 50 miles) to your organization.

STEP 7: You’ve received the finished product from us, conveniently boxed by variety (usually 6). Using the heavy poly tote bags that we provide, and the original “Sell Sheets”, you bag-up the products for each individual customer and deliver them.

Now, sit back and enjoy the fruits of your labor while savoring a delicious cup of your organization’s private label coffee. You deserve it.


Issues to Consider:

A) How will you affect your fund-raiser? Will you deploy your students, members, etc. out to the community to solicit sales (OUTSIDE SALE) or will you have an event where the buyers come to you and purchase the product “on the spot” (INSIDE SALE)? Or, will you incorporate the two where the buyers come to you, such as a craft fair, and place the orders to be delivered at a later time (HYBRID SALE)?

B) Do you have a concept in mind? Can you provide descriptive text, artwork, logos, mission statements, etc. that can be forwarded to us so that we can further develop the concept during the designing process? If not, we will do our level best without them.

C) It always happens: A client has submitted their final order to us and then a “late comer” comes to them with another order. Do yourself and your supporters a favor by ordering a couple of extra of each variety when placing the final order. Any remaining bags can be used as described in the second paragraph of STEP 7 (above).

D) We offer our free design and production set-up services on a first come, first served basis. Our capacity is limited, to some degree, in this regard. So, If you believe that you are going to use our service in a fund-raising effort, let us know as far in advance as possible. The effective fund-raising event begins with a solid plan and expectation.

E) TERMS: Because most fund-raising events have received payment for their sales inadvance, we expect full payment upon final delivery of the product by us to you.
